Privacy Policy - Spence Photography
Last updated: 29 September 2026
Techiezone Limited, trading as Spence Photography and Finding Something Lost ("we", "us", "our"), takes your privacy seriously - particularly given the personal and sensitive nature of some of the work we do. This policy explains what information we collect, how we use it, and what rights you have.
If you have any questions about this policy, you can contact us here.

1. What information do we collect?
We collect information you give us directly - for example, when you get in touch, book a session, or ask a question. This may include:
- Your name, email address, phone number, and postal address
- Details you share with us about your session, preferences, or any specific requirements
- Birthdays - yours, or those of family members including children - which we may use to mark occasions such as sending a birthday card
- Career or employment details, where you share these with us - this helps us get to know you as part of our relationship with you, and occasionally lets us make a useful introduction within our network
- Payment details, where you purchase a product or service (processed securely by our payment providers - see Section 5)
We also automatically collect some technical information when you visit our website, such as your IP address, browser type, device information, and how you interact with the site. This helps us keep the site secure and understand how it's used - see Section 4 for more on this.
2. Photographs and session images
Photographs are central to what we do, and we treat them with particular care.
What we collect. When you have a session with us, we create photographs of you. Depending on the session, this may include general portraiture, or - for clients who choose it - boudoir or nude portraits. Where a session includes boudoir or nude work, this is amongst the most personal and sensitive information we ever hold, and we take that seriously.
How we store and deliver images. Your images may be stored, processed, and delivered to you using one or more of the following third-party services: Smugmug (client galleries), Microsoft OneDrive, and Dropbox. Where we use these services to send you a link to your own images, only you and we have access to that link unless you choose to share it further.
How long we keep them. Unless you ask us to delete them, we retain your session images indefinitely. This is so we can fulfil reprint or additional product orders in future, and - only with your separate, explicit consent - for portfolio or promotional use. We will never use your images publicly without asking you first and getting a clear yes.
Your rights over your images. You can ask us to delete your session images at any time by contacting us. Your working copies will be deleted immediately. Copies held in our secure backup systems are purged automatically on our normal backup retention schedule, rather than instantly, as this is how backup systems are designed to work securely. Please note this doesn't affect any physical products (prints, albums, wall art) already produced and delivered to you.
3. How do we use your information?
We use the information we collect to:
- Arrange, deliver, and follow up on your session
- Process payments for products and services
- Respond to your enquiries and provide support
- Keep our website and services secure
- Meet our legal and accounting obligations
- With your specific consent, post testimonials or use images for portfolio and marketing purposes
We do not use your information for targeted advertising, and we do not sell or rent your personal information to third parties.
4. Cookies and analytics
Our website uses a small number of cookies and similar technologies:
- Google Analytics, to understand how visitors use our site (for example, which pages are viewed and for how long). This data is aggregated and does not identify you personally.
- Cloudflare Turnstile, to protect our contact form from spam and automated abuse.
Most browsers let you block or delete cookies through their settings. Doing so may affect how parts of the site work, but won't stop you from contacting us.
5. Who do we share your information with?
We only share your information where it's necessary to run our business, and always with appropriate safeguards in place. The services we use, and what they're for, are:
| Service | What it's used for |
|---|---|
| Lightblue | Our client management system - booking details, contact information, and session records |
| Stripe | Card payment processing |
| Square | Card payment processing |
| PayPal | Payment processing |
| Smugmug | Client gallery hosting and image delivery |
| Microsoft OneDrive | Image storage and delivery |
| Dropbox | Image storage and delivery |
| WPForms (with Cloudflare Turnstile) | Our website contact form and spam protection |
| Google Analytics | Website analytics |
| Crashplan | Secure data backup |
| 20i | Website hosting |
We may also share information where we're legally required to (for example, in response to a court order), or to protect our rights, property, or safety, or that of others.
6. How long do we keep your information?
We keep your information for as long as it's needed for the purposes set out in this policy, or as required by law.
- CRM records (contact details, booking history) are kept for as long as you remain a client of ours, or as needed to respond to future enquiries.
- Invoices and financial records are kept for at least 7 years, as required by UK tax and accounting law.
- Photographs and session images are handled differently - see Section 2 above.
7. How do we keep your information safe?
We use appropriate technical and organisational measures to protect your information, including secure hosting, encrypted payment processing through our providers, and regular backups. No system is completely secure, so while we do everything reasonably possible to protect your information, we can't guarantee absolute security.
All card payments are processed securely by our payment providers (Stripe, Square, and PayPal). We never see or have access to your full card details at any point.
8. Do we collect information from minors?
Our boudoir and nude portrait services are intended for adults only, and we do not knowingly market these services to anyone under 18.
Where we provide general portrait or family photography, children may be included as subjects with the consent of their parent or guardian, who arranges and is responsible for the session. We may also hold birthdays for family members, including children, to mark occasions such as sending a birthday card. We do not use information about children for marketing purposes. If you'd like us to remove any information we hold about a child, please contact us.
9. What are your privacy rights?
Under UK data protection law, you have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Request deletion of your information - see Section 2 and Section 6 for how deletion timing varies depending on the type of data
- Object to or restrict certain processing
- Withdraw consent at any time, where we're relying on consent
To exercise any of these rights, contact us. We'll respond within 30 days.
If you believe we haven't handled your information properly, you have the right to complain to the UK's data protection authority, the Information Commissioner's Office.
10. Changes to this policy
We may update this policy from time to time. Any changes will be posted here with an updated date at the top of this page.
